Privacy notice for drivers

Last updated 30 October 2026.

This notice explains, in general terms, what personal data Knighthak collects when you apply to drive for us and when you work with us, why we use it, who we share it with, how long we keep it and what your rights are. Customers and website visitors should read our privacy notice for customers instead.

For more detail, including the full list of the third parties we work with, contact us and we will send you our full privacy document.

Who we are

Knighthak Limited ("Knighthak", "we", "us") is the controller of your personal data: we decide why and how it is used.

  • Company number 12923470, registered in England and Wales
  • Address: 21 Ellis St, London SW1X 9AL
  • Email: enquiries@knighthak.co.uk
  • Phone: 020 3005 6999

What we collect

  • Your application: your name, email address, phone number, home postcode and the vehicles you drive.
  • Your documents and checks: the documents you upload, such as your driving licence, insurance, right-to-work evidence, vehicle insurance and MOT, with their expiry dates, and the results of our checks on them.
  • Your work: the jobs offered to you, the jobs you accept and their progress, your bids, the return journeys you post, the proof of delivery you capture, and your pay.
  • Your location, only while a job is under way: see Your location.
  • Security records: your sign-in details and records of who opened which document and when.
  • What you tell us: messages you send us by email, phone or messaging apps.

Your location

Your location is recorded only while one of your jobs is under way, from "On my way to pickup" until the job ends. It is taken every 30 seconds or 100 metres, and only while the driver app is open on your phone. Nothing is recorded between jobs.

It is shown to our control room and, as a van with no name, to the customer whose job you are carrying. It is kept for 7 days and then deleted.

You can press "Pause sharing" on the My jobs page or refuse location in your browser at any time. Neither affects your pay or the work offered to you.

How we use it, and our lawful basis

We use your personal data to:

  • take your application, offer you work, take your bids and pay you (contract);
  • check your documents and your right to work in the UK, and keep the records the law requires (legal obligation);
  • check that your documents stay valid, follow deliveries while they are under way, settle disputes, and keep our services and your data secure (legitimate interests).

We email you the outcome of each document check, with the reason if a document is turned down.

Some checks happen automatically: before showing you a job or accepting your bid, the app checks that your documents are verified and in date and that your vehicle suits the job. Decisions about you, such as verifying a document or approving or suspending your account, are always made by a person. If you think an automatic check got something wrong, contact us and a person will look at it.

Who we share it with

We share personal data only as far as each needs it:

  • Our control room. Administrators check your documents and decide whether you are approved. Only administrators can open your documents, and every opening is recorded. Dispatchers see your contact details, vehicles, availability, position and bids, and a summary of your documents, but cannot open them.
  • Customers see your first name on the proof of delivery and, while their job is moving, your van's position without your name.
  • Other drivers never see your bids, your return journeys, your position or your documents.
  • Third-party service providers who run parts of our service for us, such as website hosting, our database and file storage, email delivery, and maps, together with our technology partner, who builds and supports our platform. They act on our instructions and must keep your data safe.
  • Professional advisers, insurers and authorities, such as the police, HMRC or the Home Office, where needed or required by law, and a buyer of our business if it is ever sold.

Customer details you see

When you accept a job you see the addresses, contact names and phone numbers needed to carry it out, until 24 hours after the job ends. Use them only for that job, and delete any job sheet you downloaded once the job is done.

Transfers outside the UK

Our main records are held in the United Kingdom. Some of our third-party service providers may handle personal data in other countries. When they do, we make sure safeguards recognised by UK law are in place.

How long we keep it

We keep personal data only as long as we need it for the purposes above. Your documents and checks are kept while you drive for us and for 2 years after. Pay and job records are kept for 6 years, because tax law requires it. Your location is kept for 7 days and your return journeys for 30 days. Our full privacy document sets out every period.

Your rights

You have the right to:

  • get a copy of the personal data we hold about you;
  • have it corrected if it is wrong or incomplete;
  • have it erased, except where the law requires us to keep it, such as pay and right-to-work records;
  • restrict or object to how we use it;
  • receive it in a common format to take elsewhere.

To use any of these rights, or to ask for our full privacy document, email enquiries@knighthak.co.uk or write to us at the address above. It is free. We may ask you to prove who you are, and we will answer within one month.

Complaints

If you are unhappy with how we have used your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:

Keeping your data safe

Access to your data is limited to the people and services that need it. Your documents are private files that only administrators can open, through links that expire within minutes, and everything travels over encrypted connections.

Changes to this notice

We will update this notice when our services or the law change, and show the date at the top. If a change affects you significantly, we will tell you.
